View and respond to worship service assignments.

Service Plans

Service plans (also called service flows or runsheets) are structured schedules for worship services or meetings. They list every song, announcement, prayer, and other element in order — with timing, assigned roles, and the team for that day.

Opening Service Plans

Click Service Flows in the sidebar, or go to /service-flows.


Browsing Plans

The service plans list shows all plans your organization has created. Each entry shows:

  • Plan title
  • Date / linked event (if any)
  • Number of items in the plan

Click a plan to open it.


Reading a Service Plan

The plan detail page shows every element of the service in order:

Column Description
Order Position in the service
Type Song, announcement, prayer, etc.
Title Name of the song or element
Start time The clock time this item begins
Duration How many minutes it takes
Notes Director notes for this slot
Roles Who is assigned (e.g. Lead Vocalist, Keys)

Responding to an Assignment

If a music coordinator or admin assigned you to a service plan, you'll see it on your Dashboard My Events widget. You can accept or decline directly from the plan.

  1. Open the service plan.
  2. Find your name in the Team or Members section.
  3. Click Accept ✓ or Decline ✗.
  4. Your response is saved immediately and the plan coordinator is notified.

Creating a Service Plan (Admin / Staff / Music Coordinator only)

  1. From the service plans list, click New Plan.
  2. Enter:
    • Title — e.g. "Sunday Morning Service – May 18"
    • Description (optional)
    • Linked Event — optionally connect this plan to an event on the calendar
  3. Click Save.

Building a Plan (Admin / Staff / Music Coordinator only)

Open a plan and click Edit (or the plan opens directly in edit mode). The plan builder has a drag-and-drop interface.

Adding Items

Click Add Item at the bottom (or between existing items) to insert a new item.

For each item, fill in:

  • Type — Song or General Item
  • Title — name of the item (auto-filled if you select a song)
  • Song — if type is Song, search and select from your song library
  • Start time — clock time (e.g. 10:05 AM)
  • Duration — minutes
  • Notes — private notes for team members
  • Icon — optional visual indicator

Reordering Items

Click and drag any item up or down to reorder it. The new order saves automatically.

Adding Role Slots to an Item

Each item can have named roles (e.g. "Lead Vocalist", "Guitar", "Drums"):

  1. Click the item to expand it.
  2. Click Add Role.
  3. Type the role name.
  4. Optionally assign a specific member to that role.
  5. Save.

Assigning Team Members to a Plan (Admin / Staff / Music Coordinator only)

  1. Open the plan → Team tab (or Members section).
  2. Click Add Member.
  3. Search for and select a member.
  4. Click Add.

The member receives a notification and can accept or decline their assignment.


Removing an Item or Role (Admin / Staff / Music Coordinator only)

  • Click the delete icon on any item to remove it from the plan.
  • Click the × next to a role to remove that role slot.

Frequently Asked Questions

I was assigned to a plan but I can't find it — where is it? Check your Dashboard → My Events widget. If it's not there, contact your music coordinator — your assignment may be pending confirmation.

Can I see the plan on my phone? Yes. The plan viewer is fully mobile-responsive. Tap any item to expand its details.

Can the plan be printed for reference during the service? Use your browser's Print function (Ctrl+P / Cmd+P) on the plan page.

What's the difference between a Service Plan and an Event? An Event is a calendar entry (date, time, location, RSVPs). A Service Plan is the detailed runsheet for what happens during that event. A plan can be linked to an event, but they are separate things.
